Terms and Conditions of Delegate Registration

1. Agreement 

1.1 These terms and conditions (Terms), along with the submitted delegate registration form (Delegate Registration Form), constitute the agreement (Agreement) between you (the Delegate) and Transformative Media Ltd (the Event Organiser) governing your participation and attendance at the Event.

2. Attendance 

2.1 Delegates must complete a profiling form and submit meeting and workshop preferences by the deadlines provided by the Event Organiser. 

2.2 Profiles of solution partner organizations and other Delegates will be shared to assist with meeting selections during one-to-one sessions, if applicable. 

2.3 Participation in pre-arranged one-to-one meetings is subject to the Event Organiser’s discretion. 

2.4 Delegates confirm they will participate in their scheduled networking meetings and workshops (if applicable). 

2.5 The Delegate must conduct themselves professionally at all times and confirm they are appropriately qualified to attend the Event. 

2.6 The Event Organiser is not liable for changes in the number or identity of attendees or for missed scheduled meetings.

3. Alterations, Postponement, or Cancellation by the Event Organiser 

3.1 The Event Organiser reserves the right to alter the event structure, including location, venue, date, and features, or to cancel the Event. 

3.2 If the Event is postponed or canceled due to circumstances beyond the Event Organiser’s control (e.g., Acts of God, natural disasters, utility failures, or venue cancellations), the Event Organiser will reschedule the Event within 12 months. Delegates will be transferred to the rescheduled Event.

4. Cancellation and Substitutions by Delegate 

4.1 Delegate bookings are non-transferable. 

4.2 If unable to attend, the Delegate must notify the Event Organiser in writing at least three (3) weeks prior to the Event. 

4.3 Substitutes of equivalent qualification may attend, subject to the Event Organiser’s approval. 

4.4 Complimentary passes are allocated at the discretion of the Event Organiser and are non-refundable.

5. Content 

5.1 All rights to presentations, documentation, and materials (Content) made available as part of the Event are owned by the Event Organiser or used with permission. Delegates may not: 

  • Record, photograph, or republish the Content. 

  • Upload Content into shared systems or databases. 

  • Use Content for commercial purposes or in ways that infringe rights. 

5.2 The Event Organiser provides Content “AS IS” and excludes liability for inaccuracies or omissions.

6. Publicity Rights 

6.1 The Event Organiser may record, film, or photograph the Event and use Delegate names, voices, and likenesses for promotional purposes. By attending, Delegates waive any related rights under applicable laws.

7. Code of Conduct 

7.1 Delegates are expected to behave professionally and respectfully toward other attendees, speakers, and staff. Harassment, discrimination, or disruptive behavior will not be tolerated. 

7.2 The Event Organiser reserves the right to remove any Delegate who violates this Code of Conduct without refund.

8. Accessibility and Special Requirements 

8.1 The Event Organiser is committed to providing an inclusive environment. Delegates with disabilities or special requirements are encouraged to notify the Event Organiser in advance to ensure appropriate accommodations can be arranged.

9. Health and Safety 

9.1 The Event Organiser may implement health and safety measures (e.g., mask requirements, proof of vaccination) in compliance with public health guidelines. Delegates must adhere to these measures to participate in the Event.

10. Liability for Third-Party Vendors 

10.1 The Event Organiser is not responsible for the actions or products/services provided by third-party exhibitors or sponsors during the Event. Any issues should be addressed directly with the third party.

11. Payment Terms 

11.1 Payments must be made in full by the specified deadlines. Accepted payment methods include credit card, bank transfer, or other methods approved by the Event Organiser. 

11.2 Late payments may incur penalties or result in cancellation of the Delegate’s registration.

12. Security and Badge Policy 

12.1 Delegates must wear their event-issued badges at all times for security purposes. Badges are non-transferable, and misuse may result in removal from the Event.

13. Limitation of Liability 

13.1 The Event Organiser’s liability is limited as follows: 

  • Exclusions: Loss of revenue, profits, business opportunities, savings, or indirect/consequential losses. 

  • Inclusions: Liability for death, personal injury, or fraud caused by negligence. 

13.2 The Event Organiser is not responsible for Delegate conduct, transport, accommodations, or third-party services.

14. Law and Jurisdiction 

14.1 These Terms are governed by the laws of England and Wales, and disputes will be resolved exclusively in their courts. 

14.2 Transformative Media Ltd’s registered office is: 12 Albion Street, Brighton, BN2 9NE, United Kingdom.

15. Data Protection and Privacy 

15.1 The Event Organiser complies with GDPR regulations and protects Delegate data. For more details, refer to our Privacy Policy at transformfinance.media. 

15.2 Delegates may contact the Event Organiser to: 

  • Access or update their data. 

  • Opt out of data sharing or marketing communications. 

  • Request data removal or portability.

16. Termination 

16.1 The Event Organiser may terminate this Agreement if the Delegate: 

  • Fails to meet obligations or provide required information. 

  • Assigns benefits of this Agreement to a third party. 

  • Ceases business operations or becomes insolvent. 

16.2 In such cases, the Delegate remains liable for fees due, and no refunds will be provided.
